We are hiring an HR & Operations Manager Remote Healthcare professional to join Prana Health. This role is open to candidates in India & the Philippines and supports a US healthcare practice. The ideal candidate has a strong background in healthcare HR and operations, with proven ability to manage both onsite and remote teams while ensuring compliance with labor laws, HIPAA, and OSHA standards.

Location & Work Hours:

  • Remote: Open to applicants based in **India** and the **Philippines**
  • Must be available to work **8.30 AM to 5.30 PM EST**
  • Weekend on-call availability required for urgent HR matters

Job Summary

We are looking for a proactive HR & Operations Manager to oversee all aspects of human resources for our medical practice. This remote position will be responsible for recruitment, onboarding, employee relations, payroll coordination, compliance, training, and overall HR operations. The HR Manager must ensure seamless workforce management while being available during US business hours and on call over the weekend for urgent HR matters.

The ideal candidate must have a strong US healthcare HR background, excellent communication skills, and the ability to navigate onsite team dynamics and remote workforce management.

Key Responsibilities

Recruitment & Onboarding

  • Manage the full-cycle recruitment process, including job postings, candidate sourcing, screening, interviewing, and hiring.
  • Work on Indeed and other platforms to maintain a talent pipeline and track applications.
  • Coordinate video interviews, scheduling, and follow-ups.
  • Handle all pre-employment processes, including background checks, credential verification, and reference checks.
  • Develop and implement structured onboarding to ensure new hires integrate smoothly into the organization.

Training & Development Oversight

  • Oversee new hire training programs to ensure employees are properly equipped for their roles.
  • Ensure the daily training logs are submitted and forwarded to the Management for review and approval.
  • Collaborate with department supervisors to develop continuous learning and upskilling programs.
  • Ensure employees receive training on compliance, policies, software systems, and job-specific skills on proficiency logs.
  • Track and assess training effectiveness, identifying areas for improvement.
  • Organize periodic training, refresher courses, and performance enhancement sessions.

HR Operations & Employee Relations

  • Serve as the main point of contact for HR-related inquiries, conflicts, and employee concerns.
  • Ensure employees adhere to policies, procedures, and workplace regulations.
  • Maintain employee records, contracts, performance reviews, and disciplinary documentation.
  • Address and mediate workplace disputes, fostering a positive and productive work environment.
  • Conduct regular employee check-ins to assess job satisfaction, engagement, and performance.

Payroll & Attendance Management

  • Track employee attendance, leaves, and overtime, ensuring accurate payroll processing.
  • Work closely with the Paychex Flex team and Director of Operations for onsite employees to ensure payroll accuracy and resolve pay inquiries.
  • Maintain Google Sheets or other tracking systems for offsite team attendance.
  • Address payroll discrepancies, deductions, and benefits-related questions.

Compliance & Policy Implementation

  • Ensure compliance with US labor laws, HIPAA, OSHA, and medical HR best practices.
  • Develop, update, and enforce HR policies, procedures, and employee handbooks.
  • Monitor employee performance, issuing written warnings and performance improvement plans (PIPs) when necessary.
  • Ensure compliance with all HR documentation, contracts, and agreements.
  • Assist with confidential HR investigations and disciplinary actions as needed.

HR Support for Remote & Onsite Teams

  • Support remote, hybrid, and onsite employees across different locations.
  • Ensure smooth coordination between departments, including Front Office, Call Support, Medical Billing, Sleep Lab, and DME teams.
  • Monitor team productivity and address HR issues on time.
  • Provide HR guidance to managers and support leadership in team restructuring or policy changes.

Emergency & Weekend Availability

  • Be available on call over the weekends to address urgent HR matters, such as unexpected staff shortages, conflicts, or last-minute scheduling issues.
  • Handle emergency hiring needs, payroll concerns, or critical employee escalations.

Qualifications & Skills

  • 5+ years of HR experience in the US healthcare industry; prior experience as an HR & Operations Manager Remote Healthcare preferred.
  • Strong knowledge of US labor laws, medical HR policies, training programs, and compliance standards.
  • Experience with Indeed job postings, recruitment tracking, and resume database management.
  • Proven ability to design, implement, and oversee training programs.
  • Excellent communication, problem-solving, and decision-making skills.
  • Strong organizational skills with the ability to manage multiple priorities efficiently.
  • Proficiency in Google Workspace, HR software, and virtual communication tools.
  • Ability to work independently and handle sensitive HR matters confidentially.
  • Must have a stable internet & electricity connection, proper tools, and a quiet workspace.

Schedule & Work Environment

  • Remote position, working US business hours.
  • On-call availability over weekends for urgent HR issues.
  • Must be available for team meetings, hiring discussions, and compliance reviews.
